SUPPLY OF PHOTOCOPIERS & SHREDDERS- LEASE OPTION

NOTICE NO:  58 /2014

Priced Proposals are invited from Service Providers for the Supply, delivery, installation and maintenance of copier machines and shredders. All existing lease agreements are to be absorbed into the new contract. The contract period will be for a contract period ending 30 June 2017 from date of appointment.

A Compulsory Clarification Meeting will be held on, Friday 16 May 2014 in the Foyer of the Council Chambers at the Municipal Offices at 33 Da Gama Road, Jeffreys Bay at 10:00.  An Attendance Register will be circulated and any contractor that submits a tender without having attended the Clarification Meeting, will not be considered. Please note that no person arriving more than 15 minutes late will be permitted to attend the meeting.

Tenders

Tender Documents will be available as from Friday, 16 May 2014 from the Registry Section, 33 Da Gama Road, Jeffreys Bay. A non-refundable fee of R150 per document will be required to be paid.

Please note:

·         Telegraphic, telephonic, telex, facsimile, email or late tenders will not be accepted.

·         This contract will be evaluated on the 90/10 point scoring system.

·         Prospective Service Providers must submit a valid original SARS Tax Clearance Certificate, Registration documents with their proposals in order to be considered.

·         Prospective Service Providers must register on Kouga Municipality’s Supplier database in order to qualify for consideration. Application forms are available from the municipality.

·         In order to claim Preference points a valid original or certified B-BBEE Status level Verification certificate from a SANAS registered verification agency or a registered auditor approved by the Independent Regulatory Board of Auditors (IRBA) must be submitted to validate the claim, No B-BBEE Status Level Verification Certificate- No points may be claimed.

·         The Council reserves the right to accept any tender as a whole , or part thereof, and reserves the right to appoint more than one service supplier, and does not bind itself to accept the lowest or any tender.

·         The prices tendered must remain valid for a period of 120 days from the closing date.

·         It is the Service Provider’s responsibility to ensure that their bid is deposited in the correct tender box. No bid document delivered at any other venue or tender box than the mentioned one will be considered.

Tenders in a sealed envelope endorsed “NOTICE NO: 58/2014: “LEASE OF PHOTOCOPIERS AND SHREDDERS”, must be placed in the Tender Box in the foyer of the Municipal Offices at 33 Da Gama Road, Jeffreys Bay on or before FRIDAY, 20 JUNE  2014 at 12:00.
