ADMIN OFFICER: SPATIAL DEVELOPMENT
REQUIREMENTS:
- Relevant NQF Level 6 qualification;
- 3 years relevant experience;
- Valid Code B drivers license;
- Computer Literacy-MS Office Applications;
- Good communication skills;
- Ability to work with public members;
- Reporting skills;
- Attention to detail;
- Plans administration and word processing skills;
- Must display tact, diplomacy and adherence to work processes;
- Ability to work under pressure;
- Some knowledge of working in a Town Planning office;
- Must be able to speak, read and write in at least two of the official languages in Kouga Municipality (Afrikaans, English, and Xhosa).
SALARY: R356 209.09 – R462 394.10 Per Annum
TASK: 11
DUTIES:
- Receiving and verifying town planning information recorded on requisitions from relevant personnel/ clients, including plan submissions and re-submissions;
- Attending to plans enquiries (walk-ins, telephonic, e-mails) from estate agents, owners, builders, architects, etc. through pulling the relevant ERF file, sourcing the relevant documents in the file, verifying relevant information with the client, explaining relevant procedures e.g. fees, occupation certificate, etc; updating the file; referring the client to relevant officials and filing the relevant file;
- Organizing meetings and writing letters and invitations to relevant stakeholders to attend office or site meetings;
- Updating information onto the computer system, typing correspondence, stamping and adding plan number; folding plans in a set sequence and color-coding the original set; recording of relevant information from the client/ proxy, and attaching the receipt number to the submission form Information; ·
- Checking the accuracy of data on specific applications recorded and providing guidance on sequences necessary for query resolution to relevant personnel;
- Checking and verifying the accuracy of data;
- Accessing specific dialog/ menu capabilities on the computer system and moving or merging data from fields to create reports based on information requirements;
- Extracting and submitting reports from the system to users for perusal, analysis and comment;
- Updating the plans filing room as per color-code area through moving the files manually every year and placing spacers to absorb new additions for ease in pulling out and refiling plans;
- Maintaining the diary/ front desk and securing appointments for the Town Planning Office;
- Controlling records pertaining to the ordering, receiving and issuing of stationery and associated office consumable to personnel and/ or Offices;
- Collating information and statistics of attendance and time worked more than normal hours from the various Offices, verifying data and updating Office records and submitting to HR;
- Receiving queries on personnel administrative matters from the various Offices and communicating/ referring to the Town Planner: Spatial Development and Strategic Planning for attention and feedback.
