COORDINATOR: AUXILIARY SERVICES
REQUIREMENTS:
- Diploma in Public Administration or relevant qualification - NQF Level 6 Computer Literacy – Office Applications
- Inherent requirement to perform the functions associated with the post.
- 3 Years relevant experience;
- Must have driver's license
- Good planning and supervisory skills;
- Administration and word processing skills;
- Good communication skills;
- Attention to detail;
- Ability to work under pressure;
- Ability to control a large team.
SALARY: R400 509. 88 – R519 889. 07 Per Annum
TASK: 12
DUTIES:
- Give instructions to subordinate staff or external service providers relative to the preparation of maintenance works for ward offices and Administrative Buildings and oversee compliance and health and safety standards to ensure that buildings are compliant.
- Prepare maintenance schedules for maintenance team and schedule work on DMS to be attended.
- Approve and oversee all ad-hoc maintenance requests received on DMS and action work to be completed.
- Overseeing the availability of maintenance material, to issue to maintenance team or external service providers
- Overseeing the obtaining quotations and completing the prescribed requisitions for ordering maintenance materials and consumables;
- Overseeing the recording of maintenance materials and consumables issued; and reporting to the Manager: Administration on maintenance materials and consumables issued to maintenance team/external service provider;
- Conducting quality inspections of designated areas and taking corrective measures where required in terms of building maintenance;
- Evaluating and correcting deviations or non-compliance with maintenance safety and standard operating procedures and/ or investigating, establishing and reporting causes of accidents and/ or incidents;
- Give instructions to subordinate staff relative to the preparation for meetings and oversee compliance to ensure that venues are ready and prepared for meetings of Council and its Committees;
- Interacting with the Cleansing Team to establish and confirm cleaning priorities and, sending personnel to specific offices/ boardrooms/ council chambers/ ablution facilities, issuing cleaning materials and/ or equipment and detailing requirements;
- Overseeing the availability of cleaning material, cleaning consumables and sanitary consumables are available for issuing to cleaners in the various section;
- Overseeing the obtaining quotations and completing the prescribed requisitions for ordering materials and consumables;
- Overseeing the recording of materials and consumables issued; and reporting to the Manager: Administration on materials and consumables issued;
- Conducting quality inspections of designated areas and taking corrective measures where required;
- Evaluating and correcting deviations or non-compliance with cleansing safety and standard operating procedures and/ or investigating, establishing and reporting causes of accidents and/ or incidents;
- Maintaining adequate stock levels of cleaning material and equipment (mops, detergents, plastic bags) and filling requisitions when stock levels are low. In order to ensure acceptable standards are maintained at the site and departmental guidelines and statutory/ regulatory requirements are observed;
- Preparing a monthly quotation form for the provisioning of catering;
- Monthly updating the list of registered caterers so as to ensure that all caterers are called on to submit catering quotations;
- Overseeing all telephones / printers and cell phones in terms of administration, faults and procurement (Tender or quotation based).
- Controlling and maintaining a list of all telephones held by the Municipality;
- Controlling and maintain list of all printers held by the Municipality;
- Controlling and maintain list of all cell phones held by the Municipality;
- Compiling reports on telephones usage / printer usage and cell phone usages, and all other required reports
- Monitoring attendance/ conduct and output and addressing deviations from agreed performance indicators through meetings/ counseling and/ or other approved methods designed to improve and motivate personnel;
- Addressing workplace conflict/ conduct through the initiation and co-ordination of consultative processes and implementation of specific disciplinary procedures;
