REGISTRY OFFICER
REQUIREMENTS:
- Relevant NQF level 6 qualification;
- Code B Driving License;
- At least three (3) years’ relevant experience;
- Computer Literacy – Office applications with good Excel skills;
- Good knowledge of the National and Provincial Archives & Records Management Act;
- Attention to detail;
- Ability to deal with individuals at all levels;
- Team working and customer care skills;
- Ability to work under pressure;
- Ability to innovate and think outside the box
- Must be able to speak, read and write in at least two of the official languages in Kouga Municipality (Afrikaans, English, and
Xhosa).
SPECIAL CONDITIONS:
SALARY: R257 075.87 – R333 654.61 Per Annum
TASK: 10
DUTIES:
- Implementing of administrative processes and systems according to policy and legislative requirements (National Archives Act) and ensuring that security and access control of documents are in place;
- Verifying that scanning, indexing and routing is done on a daily basis according to specific requirements;
- Checking, scanning and inserting acknowledgement of receipt on incoming mail, stamping and reflecting circulation details and forwarding to relevant personnel.
- Processing and administering the archiving of documents according to National Legislation through transferring of documents to the archive section of the Computer system, maintain the database with imaged documentation (archived and active documents) and selecting completed documents for archiving;
- Receiving incoming/ outgoing mail and commences with recording sequences in registers, inserting dates, details of addressee etc.
- Monitoring the received of incoming mail via post or electronic mail, opening of correspondence, receiving of cheques /cash according to policies and procedures;
- Monitoring the preparation of outgoing mail, determining postage applicable referring to official postage tariff guides and / or detailing any special requirements with respect to priority mail, etc;
- Monitoring attendance/ conduct and output and addressing deviations from agreed performance indicators through meetings/ counseling and/ or other approved methods designed to improve and motivate personnel;
- Maintaining and updating copies of Legislative Acts, bylaws and standing orders.
- Maintaining the Computer System through routine maintenance sequences, administering users by creating user rights and accessibility to the system.
- Seeking approval from the immediate superior and executing sequences to facilitate the archiving and disposal of aged/ obsolete records.
